Every business eventually needs something standard software doesn't have. Eligible annual Business and Enterprise customers can request custom functionality designed around their own requirements, subject to feasibility, security and implementation assessment — built as real, dedicated functionality inside your existing Vitabu tenant, protected by the same isolation that already guards your data.
Who qualifies
Customers on an annual Business or Enterprise subscription get Custom Business Software as an included benefit, subject to requirements, technical feasibility, security, infrastructure and implementation assessment.
On other plans, you can still submit a request — we review it individually, and it may carry a one-time or ongoing cost depending on scope. Either way, it starts with the same request form.
How it works
Request
Submit a request from your dashboard — Settings → Request a Custom Feature. Tell us what you need, who it's for, and how it should work.
Review
Our team reviews the request and follows up if we need more detail — the conversation stays on the request itself, so nothing gets lost in email.
Design
For anything beyond a small change, we map out the screens, data and workflow before writing code, and confirm it matches what you asked for.
Build
An approved request becomes real, dedicated functionality — its own screens and data, not a workaround bolted onto an existing one.
Test
We verify it works correctly for your business and, just as importantly, that it stays isolated to your tenant with no effect on anyone else's account.
Deploy
The finished feature is released to your account. Larger requests may be delivered in phases rather than all at once.
Activate
It goes live on your account only. No other Vitabu customer sees it, can reach it, or knows it exists — the same tenant isolation that protects your financial data protects it too.
What you can ask for
Not every request needs new code — some are a configuration change we can make in minutes using Vitabu's existing customization tools (custom fields, terminology, document numbering). Custom Business Software is for what configuration alone can't cover.
A custom field or function
An extra field on customers, invoices or any record, or a small standalone function — the exact detail your business needs that a generic form doesn't ask for.
A custom workflow, form or approval
An approval chain, threshold or process step that matches how your business actually signs things off — not a generic three-step default.
A custom report or dashboard
A report, register or dashboard built around your own metrics, pulling from your own data, instead of a one-size-fits-all template.
A brand-new module or system
Something standard Vitabu doesn't do at all yet — screens, records, roles, permissions, workflows and reports built as a dedicated module for your business.
A customer or staff portal
A dedicated portal for people outside your core team, where technically appropriate, built on your existing Vitabu data.
An integration
A connection to an external service your business depends on, evaluated for technical feasibility, security and infrastructure impact before we start.
How large can it get?
There's no fixed size limit — what we build matches your actual requirement, from a single field to a complete module.
Small
One custom field, function or small tweak to an existing screen. Usually the fastest to review and deliver.
Medium
Multiple screens plus a workflow and reports working together — a self-contained addition to how you already run part of your business.
Large
A complete business-specific module or software environment — multiple screens, records, roles, permissions, workflows, reports and dashboards. Larger requests are often built and released in phases.
Built for your business, and only your business
Custom functionality built for your business runs inside your own Vitabu tenant and is never automatically shared with anyone else. A system built for Tenant A does not become available to Tenant B or Tenant C — it can't expose their data, bypass their permissions, or change how standard Vitabu behaves for unrelated customers. It's the same tenant isolation that already keeps your financial records private, extended to whatever we build for you.

Who qualifies for Custom Business Software?
It's an included benefit for customers on an annual Business or Enterprise subscription, subject to requirements, technical feasibility, security, infrastructure and implementation assessment. Customers on other plans can still submit a request — we review it individually, and it may carry a one-time or ongoing cost depending on scope.
Is custom development included in my subscription?
For annual Business and Enterprise subscribers, yes — subject to the same requirements and technical assessment as any request. For other plans, we review every request individually; some are complimentary, others carry a cost, and we'll always tell you before any work begins.
Can I build a complete business system, or only small additions?
Either. The size of what we build depends entirely on your actual requirement — from a single custom field to a complete module with its own screens, roles, workflows and reports. Larger requests may be developed and released in phases.
Do I need programming knowledge to request something?
No. You describe what you need in plain language from Settings → Request a Custom Feature; our team handles the design and build.
Can different users have different permissions in a custom feature?
Yes, where the request calls for it — custom functionality is built on the same roles-and-permissions system as the rest of Vitabu, not a separate access model.
Will other Vitabu customers see what I asked for or get?
No. A feature built for your business is isolated to your account by design, exactly like the rest of your data on Vitabu. A tenant-specific system built for one customer does not automatically become available to any other customer. The only exception is if we later ask your permission to make a proven idea available platform-wide, as happened with the Visitor & Gate Pass Log below.
Can it use my existing Vitabu data?
Yes — where technically appropriate, custom functionality operates inside your existing Vitabu tenant and can work with the records you already have, rather than living as a disconnected system.
Can it integrate with external services?
It can be evaluated. Integrations are reviewed case by case for technical feasibility, security and infrastructure impact — we don't promise that every external system can be connected.
What if my request doesn't fit any standard category?
Describe it anyway. The request form has an "Other" option precisely for that — a human reviews it either way, not a keyword filter.
Can a custom feature be expanded later?
Yes. You can submit a follow-up request to extend something we've already built, the same way you'd request anything new.
What happens if my requirement turns out to be technically complex?
We tell you honestly during review. A complex requirement may need a larger scope, a phased delivery plan, or in rare cases may not be feasible on the current platform — we'd rather say so upfront than overpromise.
