Migrating from QuickBooks or Tally to an ERP: What to Expect

Switching accounting systems is one of those things businesses put off far longer than they should, usually because "migration" sounds like it means weeks of manual re-entry and the risk of losing historical data. In practice, for the core master data most businesses actually need to bring across, it's a lot more mechanical than that.

What actually moves

Realistically, four things matter most when switching systems:

  • Chart of accounts — your account structure, not a reset to someone else's generic default.
  • Customers — contact details, payment terms, and outstanding opening balances.
  • Vendors — the same, for who you owe money to.
  • Products or services — your catalogue, pricing, and current stock on hand.

Full transaction history — every invoice and bill ever created — is usually a different conversation. Most businesses don't actually need every historical transaction live in the new system; they need accurate opening balances as of the switchover date, and the old system kept around (or exported) for reference if an old transaction ever needs to be looked up.

The mechanical part: export, map, import

QuickBooks and TallyPrime can both export your accounts, customers, vendors and products to Excel or CSV. A well-built import tool then reads the column headers in that file and matches them to the right fields automatically — recognizing that "Customer Name," "Client," and "Company" likely all mean the same thing, for instance. You review the mapping before anything is created, adjust anything it got wrong, and import.

What can go wrong, and what a good import tool catches

The most common real mistake in a manual migration isn't a formatting error — it's importing the wrong kind of data into the wrong place. A Trial Balance or General Ledger export, for instance, can look superficially similar to a customer or product list if you're just skimming column headers, and importing financial-statement line items as if they were customers creates a mess that's genuinely tedious to clean up afterward. A properly built import flags rows that look like they belong to a different import before they're created, not after.

Questions worth asking before you start

  • Can opening balances actually post as real, balanced ledger entries — not just sit as an unreconciled number?
  • Does the tool support your export format directly, or does it require reformatting first?
  • Do you get to review the column mapping before anything imports, or is it fully automatic with no checkpoint?
  • Is there support available if something looks wrong partway through?
