ERP vs. Accounting Software: What's the Difference?
"Accounting software" and "ERP" get used almost interchangeably in East African business conversations, but they solve different problems. If you're evaluating software for a growing business, the difference matters more than it sounds like it should.
What accounting software actually does
Accounting software records financial transactions: invoices, bills, payments, journal entries. It produces a chart of accounts, a general ledger, and financial statements. It answers the question "what happened to our money?" — and for a small business with one revenue stream and a handful of transactions a day, that's often enough.
What an ERP adds
An ERP (Enterprise Resource Planning system) starts from the same accounting core, but connects it to the operational systems that generate those transactions in the first place — sales, inventory, purchasing, POS, payroll. The difference shows up the moment a business has more than one moving part:
- A sale at the till updates stock and posts to the ledger, in one entry — not a POS export reconciled against accounting at month-end.
- A purchase order becomes a vendor bill becomes a payment, with inventory received matched against what was ordered, not tracked separately.
- Payroll runs post statutory deductions straight to the ledger, instead of a payroll spreadsheet someone re-keys into accounting.
None of this is about accounting being "better" in an ERP — it's the same double-entry bookkeeping underneath. The difference is how many other systems feed it, and how much manual reconciliation that removes.
When accounting software alone is enough
If your business is genuinely one revenue stream, no inventory to track, and a handful of transactions a month, a lighter accounting tool can be the right call — an ERP's extra modules are just unused surface area for that business. The signal to look at an ERP is usually when you notice you're maintaining the same information in two places: a stock spreadsheet and accounting, a payroll file and accounting, a POS report and accounting.
Where this leaves Vitabu
Vitabu ERP's accounting core is a full double-entry system on its own — chart of accounts, journal entries, accounts receivable and payable, financial statements. Sales, inventory, POS, payroll and banking sit on top of the same ledger, so the reconciliation problem above doesn't come up. See ERP software for Tanzania for the full platform, orthe accounting core specifically if that's what you need today.
